Properties, units, and buildings

Properties hold buildings; units hold tenancies. Getting this layer right makes everything downstream — leases, ledgers, maintenance — line up automatically.

Property records

Each property carries its address, a validated property type, notes, tags, custom fields, documents, and its expense history. The property's state drives the compliance rules applied to every lease under it.

Unit records

Units carry a dwelling type (apartment, single-family, condo, townhouse, and more), a listed flag, and a listing description. A unit's status (vacant/occupied) follows its leases. The unit is the ledger anchor — rent, fees, and payments always trace to a specific unit's tenancy.

Assets and appliances

Track make, model, serial, installed date, and warranty per property and unit in the assets registry — so when the boiler in unit 2 acts up, its history is one click away, not in a shoebox.

Attachments, notes, tags, custom fields

Every record takes file attachments (stored privately, served only to authorized users on your account), free-form notes, de-duplicated tags, and admin-defined custom fields — all visible in the record activity panel.

Why the state field matters more than the address

The property's state is the compliance switch for everything beneath it. Deposit caps, deposit-interest rules, and statutory late-fee limits all resolve from the property's state, not from your organization's. An owner with a triple-decker in New Britain and a two-family in Worcester gets Connecticut rules applied to one and Massachusetts rules to the other automatically, on the same login, with no setting to remember. Set it correctly at creation and the rest of the system inherits it.

Common questions

Do I need a separate property record for each building?

Yes. A property is a building at an address; a unit is a tenancy inside it. A single-family house is one property with one unit, because the unit is the ledger anchor — leases, charges, payments, and work orders all attach to a unit, never directly to a property.

Is there a limit on how many I can add?

No. Every plan, including free Core, has unlimited properties, units, tenants, and leases. There are no unit minimums and no monthly floors, so a six-unit owner is not priced out of their own records.

What happens if I try to delete a property that has history?

It refuses. A property, unit, tenant, or lease carrying ledger or lease history cannot be deleted — legal records are append-only, and the database itself blocks the cascade. Mark the unit vacant or the record inactive instead; the history stays intact for the day you need it.

Can I track things Stonerow does not have a field for?

Yes. Admin-defined custom fields per record type, plus tags and free-form notes, cover the details specific to your portfolio — parking assignments, oil-tank dates, condo association contacts.
