How to list a vacancy and take applications
From empty unit to signed tenant without a paper application in sight.
Steps
- Under Portfolio, open Units, flag the vacant unit as listed, and write the listing description (beds, baths, rent are already on the record).
- Share your public listings page — a tokened link you control — anywhere you advertise. Generate the QR code in-app and print it on the yard sign or flyer; it opens the listing with an Apply button.
- Applicants complete the online application. Submissions land under Leasing → Applications with statuses, application fees, and holding deposits recorded.
- Schedule tours under Showings; on Standard, run the screening workflow with your configured provider.
- Approve, then convert the applicant to a tenant in one click and create the lease.
Good to know
The listings link is revocable — rotate it and old flyers stop working. Application-fee handling is state-aware, and screening (Standard) supports co-applicants and guarantors on one application.
Before you publish
Four things worth two minutes each: confirm the rent and the beds and baths on the unit record, because those are what the listing displays; write the description for the search a renter actually runs, not for a brochure; read the copy against fair-housing rules, since source of income is protected in all three states and Stonerow will flag phrases like “no Section 8”; and decide up front whether you are charging an application fee or taking a holding deposit, so the answer is the same for every applicant.
Common questions
Where does the listing actually appear?
On your own public listings page, at an unguessable URL you control — not on a third-party marketplace. You share it wherever you already advertise: the yard sign QR code, a text, a local group, an email to your waiting list.
How fast do applications reach me?
Immediately. Submissions appear under Leasing → Applications with their status, application fee, and holding-deposit flags recorded, so nothing sits in an inbox waiting to be transcribed.
Do I have to re-type an applicant I approve?
No. Approve, then convert to a tenant in one click and create the lease from the record that already exists. Re-typing is where transposed digits and wrong move-in dates come from.
How do I take the unit back off the market?
Clear the listed flag and it drops off your listings page. If flyers or QR codes are still circulating and you want them dead, rotate the listings token — the old link stops resolving on the spot.
